1. Service Agreement

By accepting services from Vero Pest & Environment (“Vero”), the Client agrees to these Terms and Conditions.

Service begins upon verbal, written, or electronic acceptance of a quote, estimate, or work order, or by allowing Vero technicians access to the premises for inspection or treatment.


2. Scope of Work

Services will be performed as described in the invoice, quote, or service report. Any additional services not specified may require separate authorization and may result in additional charges.

Treatment results depend on environmental conditions, structural factors, sanitation, tenant cooperation, and client preparation. Unless specifically stated in writing, pest control services are intended to reduce and control pest populations, and complete elimination cannot be guaranteed.


3. Access and Preparation

Clients are responsible for ensuring safe and reasonable access to all treatment areas and for following any preparation instructions provided prior to service.

Failure to complete required preparation may:

• reduce treatment effectiveness

• require rescheduling

• result in additional service charges

If the technician arrives and treatment cannot be completed due to lack of preparation or lack of access, a service call or rescheduling fee may be charged.


4. Payment Terms

Payment is due upon completion of service unless otherwise agreed in writing.

Vero reserves the right to require prepayment or deposits for certain services, including large treatments, commercial work, or multi-unit projects.

Invoices not paid within 30 days may be subject to a late payment charge of 2% per month (24% annually).

Clients are responsible for reasonable collection costs associated with unpaid invoices.


5. Cancellations and Rescheduling

Clients may cancel or reschedule an appointment without penalty if at least 24 hours notice is provided.

For large projects requiring material purchases or scheduling of significant labour time, Vero reserves the right to retain a portion of prepaid funds to cover incurred costs if the project is cancelled.

If an appointment is cancelled with less than 24 hours notice, or if the technician cannot access the property at the scheduled time, Vero reserves the right to charge a missed appointment fee or service call fee.

Repeated cancellations may require prepayment before future appointments are scheduled.


6. Prepaid Services and Refunds

Some services may be paid in advance, including treatment packages, portfolio plans, or scheduled service programs.

If a prepaid service is cancelled by the Client:

• any services already performed will be billed at the standard service rate

• costs associated with materials purchased specifically for the project may be deducted

• the remaining balance, if any, will be refunded to the Client

Administrative or booking fees may be non-refundable. Refunds are typically processed within 14 business days.

If Vero cancels a service for reasons unrelated to the Client or the property, the Client will be refunded for any services not performed.

If service cannot be completed due to conditions at the property—including but not limited to unsafe environments, aggressive occupants or animals, hoarding conditions, blocked access, tenant non-compliance, or other hazards—the visit may be considered a billable service call or missed appointment.

If a technician determines that treatment cannot be safely or effectively completed due to conditions within the premises, the service may be postponed and a service call fee may apply.


7. Follow-Up Services

Some pest control services require follow-up inspections or additional treatments to achieve effective control.

Follow-up visits, monitoring schedules, or additional treatments will be outlined in the quote, service agreement, or service report where applicable.


8. Safety and Liability

Vero uses only pest control products registered by Health Canada’s Pest Management Regulatory Agency (PMRA) and applies them according to label directions.

Clients must follow all post-treatment instructions provided by the technician.

Vero is not responsible for damages resulting from:

• pre-existing structural issues

• hidden infestations inside walls or inaccessible areas

• failure to follow preparation or safety instructions

• reinfestation originating from neighbouring units or external sources

Liability for any claim related to services provided is limited to the amount paid for the service.


9. Photographs and Documentation

Technicians may take photographs during inspections or treatments for documentation purposes.

These images may be used in service reports, internal records, or training materials, but will not publicly identify the client or property without consent.


10. Tenant Preparation and Non-Compliance (Multi-Unit Buildings)

For services performed in rental, condominium, or multi-unit properties, occupants may be required to complete specific preparation steps prior to treatment.

If required preparation is incomplete at the time of service, Vero reserves the right to:

• postpone treatment until preparation is completed

• treat only accessible areas where effective treatment is possible

• charge a service call or rescheduling fee

Vero is not responsible for reduced treatment effectiveness where preparation instructions were not followed.

In multi-unit infestations (including but not limited to bed bugs, cockroaches, and rodents), effective control may require treatment of adjacent or nearby units. Vero cannot guarantee elimination where recommended units are not treated.


11. Multi-Unit Treatment Coordination

Where treatment involves multiple units within the same building, property management or ownership is responsible for coordinating tenant preparation and access.

If scheduled units are unavailable, inaccessible, or unprepared at the time of service, Vero may:

• treat only prepared units

• charge a service call fee for missed units

• require additional visits billed at the standard service rate

Vero is not responsible for pest migration or reinfestation resulting from untreated or inaccessible units.


12. Unsafe Site Conditions

Technicians may refuse or postpone service where conditions present a reasonable safety risk, including but not limited to:

• aggressive animals

• hostile or threatening occupants

• excessive clutter or hoarding conditions

• biohazards or unsanitary conditions

• structural hazards

• illegal activities on site

If service cannot proceed due to unsafe conditions at the property, the visit may be considered a billable service call.

Service may be rescheduled once the unsafe conditions have been corrected.


13. Pest Migration and Reinfestation

Pest control treatments reduce and manage pest populations but cannot prevent pests from entering a property from neighbouring units, adjacent buildings, or surrounding environments.

Vero is not responsible for reinfestation caused by:

• untreated neighbouring units

• structural deficiencies

• sanitation issues

• introduction of pests through furniture, belongings, or visitors

Additional treatments may be required and will be billed separately unless otherwise specified in writing.


14. Estimates and Pricing Adjustments

Quotes and estimates are based on conditions observed during inspection or described by the client.

If the scope of infestation, property conditions, or treatment requirements differ materially from what was originally described, Vero reserves the right to revise the quote before proceeding with additional work.


15. Service Guarantees

Where a service guarantee is offered, the terms of that guarantee will be specified in writing in the quote, service agreement, or service report.

Guarantees apply only to the specific pest species identified in the service report.

Unless otherwise stated in writing, pest control services provided by Vero Pest & Environment are intended to reduce and control pest populations, and complete elimination cannot be guaranteed due to factors outside the control of the technician.

Any service guarantee is conditional upon the following:

• the client follows all preparation and post-treatment instructions

• sanitation and housekeeping standards are maintained

• recommended structural repairs or exclusion measures are completed where applicable

• access is provided for required follow-up inspections or treatments

• neighbouring units or areas recommended for treatment are treated where applicable

• no introduction of new infested items occurs after treatment

Guarantees may be void if these conditions are not met.

Where a valid guarantee applies and pest activity persists within the guarantee period, Vero will provide additional treatment services as specified in the agreement. Remedies under any guarantee are limited to additional treatment services and do not include monetary refunds unless explicitly stated.


16. Inspection Findings and Recommendations

Inspection findings and treatment recommendations provided by Vero Pest & Environment are based on conditions observed at the time of inspection.

Where Vero recommends additional treatments, structural repairs, sanitation improvements, or treatment of adjacent units, failure to follow these recommendations may reduce treatment effectiveness or allow pest populations to persist or spread.

Vero is not responsible for continued pest activity, reinfestation, or pest migration where recommended actions are declined, delayed, or only partially completed by the Client or property occupants.

Payment for inspections, treatments, or service visits remains due regardless of whether the Client elects to proceed with recommended follow-up services.


17. Bed Bug Treatment Conditions

Bed bug control requires strict preparation, cooperation from occupants, and in many cases treatment of adjacent units. Successful control depends on these factors and cannot be guaranteed where they are not met.

Clients and occupants must follow all preparation and post-treatment instructions provided by Vero Pest & Environment.

Failure to complete required preparation, laundering, clutter reduction, or other preparation steps may reduce treatment effectiveness and may require additional treatments billed at the standard service rate.

Bed bugs may also be reintroduced through travel, visitors, second-hand furniture, or untreated neighbouring units. Vero is not responsible for reinfestation caused by these factors.

Where a follow-up inspection or treatment schedule is recommended, failure to provide access for these visits may void any applicable service guarantee.


18. Right to Refuse Service

Vero reserves the right to refuse or discontinue service if conditions at the property prevent safe, lawful, or effective pest control treatment.


19. Governing Law

These Terms and Conditions are governed by the laws of the Province of Alberta and the laws of Canada.
